Job Description:
We are looking for an Assistant to support the Dean at IE Law School. In this role you will be acting as the point of contact between the Dean and key internal stakeholders, handling requests and queries appropriately, managing diary and schedule meetings and appointments.
The candidate will need excellent time management, attention to detail and communication skills.
Key Action Areas:
• Organizing meetings and business travel
o Arranging travel, visas and accommodation
o Organizing and maintaining diaries, and making appointments;
o Screening phone calls, enquiries and requests, and handling them when appropriate;
oMeeting and greeting visitors at all levels of seniority
•Effective business communication
oDealing with incoming email and post, if needed corresponding on behalf of the Dean;
oLiaising with clients, suppliers and other staff.
oTaking care of the internal communication
•Developing or translating complex documents
oProducing/translating documents, briefing papers, reports and presentations
oWord processing (MS Word) and Spreadsheets (MS Excel)
•Coordinate with other departments to ensure compliance with established policies
•Submit and reconcile expense reports
•Develop other particular projects in accordance with the department needs
