Job Description:
This position reports to the Director of International Projects. The unit is responsible for the design, management and delivery of 30+ one week immersion modules for partner universities.
Key action areas:
Pre-program:
•Program creation Atenea platform
•Scheduling of academic sessions/confirming with faculty
•Request access to the documentation campus
•Set-up campus online for each program
•prepare invitation letters and visa requirement information for students.
•Register students in CRM
•Liaise with program coordinators at partner schools
•Track student registration for each program
•Send welcome emails to all program participants with respective links to register for access to program details and documentation.
•Purchase student and faculty materials when needed
•Manage all catering and restaurant bookings
•Send schedule and attendance reminders to program faculty
•Set-up classrooms the day before the program
Week of program:
•Organize airport transfers for groups upon arrival + transfers related to company visits + visits to Segovia and IE Tower.
•Track Covid-19 passports for entry into IE campus (es)
•Manage program cultural activities in other Spanish cities if required (Salamanca, Toledo, Córdoba).
•On-site support for professors and participants during program week, including cultural visits, formal meals, and company visits.
•Prepare certificates of completion for participants
•Manage program evaluations
Post-program:
•Ensure that all program documentation + presentations is available on IE campus
•Prepare expense reports for each program
•Prepare program evaluation reports and distribute to faculty, program management + partner university
•Prepare student experience report upon completion of each program
•Prepare invoices for programs and follow-up on payments
•Follow-up with partner university as needed
Additional Duties:
•Support program management in the creation of marketing material (brochures, flyers, etc.) used for promoting programs, as well as track lead generation through Power BI.
•Support program management in creating agendas and budgets/forecasts for programs.
•Support program management in the preparation of program contracts.
