Job Description:
We are looking for an Assistant that will be the contact to the students, while also running the day-to-day operations and assisting the assigned team in Talent & Careers, with a special focus on coordinating effective communications to students and controlling the budgeting and payment processing of the department. Candidates must be quick learners, problem solvers, highly organized and detail-oriented, able to work with back-to-back deadlines, and comfortable working with diverse and international teams.
Key Action Areas:
•Coordinate day-to-day activities and ensure the teams’ smooth operations, both within the Operations team and the Talent & Careers department, providing all team members assistance and support in their daily duties.
•Daily contact with the students, providing them any necessary information about the services offered by Talent & Careers, offering them the first step in orientation by informal advising.
•Help organize program events for the students and ensure their smooth running by coordinating them with the academic department and others that might provide service.
•Ensure proper communication of Talent & Careers activities in the different platforms such as Career Portal, Campus Online, and Campus Groups.
•Responsibility for the weekly newsletters.
•Responsible for the support to the entire department in organizing business-related travel and managing expenses.
•In charge of scheduling calls, meetings, and following up on all items for team members.
•Responsible for several department mailboxes; guiding students, alumni, and companies via the emails received in the mailbox, phone calls, or by person, assuring a good experience for them.
•Manage multiple department projects simultaneously and follow through on issues in a timely manner. This might include scheduling calls, meetings, and following up on all items related to projects or people assigned in Talent & Careers.
•Generate job postings in the Career Portal accessible to all IE students and alumni.
•Creating surveys for students in the Career Portal or any other platform required.
•Responsible for the accountability and communication to students regarding LinkedIn premium codes.
•Processing the invoices of the department and control the budget.
•Ensure support for the administrative tasks the team might have.
